Teacher registration & booking

All CUO event bookings and dancer entries are managed through the online Teacher Portal.

New teachers:

Create a Teacher Portal account first. Once your account is created, you will be able to add your dance school details and manage your event bookings.

Returning teachers:

Sign into your existing Teacher Portal account and select the event you would like to attend.

How to register your school:

1. Log into the Teacher Portal.
2. Go to your school account.
3. Add or check your school details.
4. Make sure your contact number, email address and postal address are correct.
5. Select the event you would like to attend.
6. Add your estimated numbers for dancers, spectators, teachers and teams.
7. Book your school into the event and pay the required deposit.

Once the deposit has been paid, your school’s place at the event is secured.

If your estimated dancers, spectators, teachers or teams change by more than 10%, please let us know as soon as possible so we can plan the event correctly.

Important:

Please make sure your school and contact details are correct, as these may be used for event information, invoices and wristband postage.

Dancers must be added to your school account before they can be entered into sections.

How to add dancers:

1. Log into the Teacher Portal.
2. Go to Manage My School.
3. Select Manage My Dancers.
4. Click Create Dancer or Add Dancer.
5. Enter the dancer’s details carefully.
6. Save the dancer to your school account.

Please check that each dancer’s name, date of birth and details are correct before entering them into an event.

Parents may also be able to create an account and add their child using your school or centre number, but it is the teacher’s responsibility to check all dancer information before entries close.

Once your dancers have been added, you can enter them into the correct event sections.

How to enter dancers:

1. Log into the Teacher Portal.
2. Go to My Events.
3. Select the event you are attending.
4. Choose the section you would like to enter.
5. Add the correct dancer, duo, duet or team.
6. Select the correct ability level and section.
7. Save the entry.

Please check the rules before entering dancers, especially for ability levels, age sections, solos, duos, duets and teams.

Entries can be amended before the entry deadline. Once entries close, late entries or changes may not be accepted.

Check the rules and entry requirements

You can check your event entries and invoice through your registration summary.

How to view your registration summary:

1. Log into the Teacher Portal.
2. Go to My Events (or My Past Events if the event is one week away).
3. Select the event.
4. Open your Registration Summary.
5. Check all dancers, sections, teams, tickets and invoice details.

Please check your registration summary carefully before the deadline. It is the teacher’s responsibility to make sure all entries are correct.

Invoices are usually finalised once dancer entries and ticket numbers have been confirmed.

Music must be submitted by the music deadline for each event.

Please upload music clearly and make sure each file is labelled correctly.

Recommended music file name format:

School Name – Dancer / Team Name – Section

Example:

Dance School – Elite Crew – U14 Intermediate Team

Please check that music is:

1. The correct version
2. The correct length
3. Suitable for the age of the dancers
4. Within the correct music time limit for the section you have entered

It is the teacher’s responsibility to check the music time allowed for each section before uploading.

Music must be submitted no later than 2 weeks before the event, unless a different deadline has been confirmed.

Teachers, chaperones, mentors and responsible adults may be required to complete the CUO Teacher, Chaperone and Mentor Form before attending an event.

This form helps CUO manage safeguarding, supervision and event safety, and must be completed where required to receive your FREE teacher band.

The form may ask for details such as:

1. Name and contact details
2. Role at the event
3. Dance school or organisation
4. DBS or safeguarding

Safeguarding children and young people is a key priority at CUO events.

Teachers and school leaders are responsible for ensuring their dancers are supervised appropriately throughout the event.

Please make sure dancers:

1. Are supervised by a suitable adult
2. Follow safe dance practice
3. Wear suitable footwear
4. Wear age-appropriate costumes
5. Follow event rules and behaviour expectations
6. Are fit and well to take part
7. Respect other dancers, schools, staff and spectators

Any safeguarding concerns should be reported to the CUO safeguarding team or event manager immediately.

Rules may be updated from season to season, so always check the latest version before submitting entries.

It is the teacher’s responsibility to make sure all dancers are entered into the correct sections.

Read the rules and event terms

Parents and guardians are welcome to take photos and videos of their own child during the event. If a parent, guardian or participant does not wish to be photographed or filmed, this must be raised with the dance school lead as early as possible. The dance school lead should then inform the CUO event team so that suitable arrangements can be put in place where possible. When sharing photos or videos online, please consider who may be visible in the background and whether it is appropriate to post. We recommend checking privacy settings and sharing only with an appropriate audience.

During team sections, each dance school may nominate one teacher or approved representative to record their team performance from the front. No other filming of team performances is permitted inside the venue. Each dance school is responsible for making sure they have the correct permissions from their dancers, parents or guardians before recording. Dance schools should also consider how any team footage is stored, used or shared, particularly in relation to safeguarding, privacy and protecting choreography. By entering or attending a CUO event, participants and ticket holders understand that Calling U Out may capture photographs and short video clips during the event, which may be used for CUO website content, social media posts and promotional material. Anyone with concerns about this should speak to their dance school lead, who can then contact the CUO event team.

Spectator wristband numbers must be confirmed by the event deadline, usually 3 weeks before the event, to allow time for wristbands to be prepared and posted.

Once wristbands have been confirmed and posted, invoices cannot be adjusted. Please check your numbers carefully before confirming your final order.

If you need additional wristbands after the deadline, these may be purchased on the door at full price, subject to availability.

If you require more than 10% extra on top of the tickets you originally booked, please contact CUO directly before the deadline so we can check availability.

Returning Wristbands

Teachers may return unused wristbands on the day of the event to the CUO desk team, in line with the CUO refund policy.

By booking or purchasing wristbands, you are agreeing to the CUO ticket and refund policy.

Lost or Forgotten Wristbands

If any member of your dance school forgets their wristband or ticket, they will need to arrange a replacement at the venue.

Replacement wristbands will be charged at the on-the-door price, subject to availability.

Wristbands must be worn at all times during the event.

No official times will be given for when categories are due to dance.

Rules can be amended at any time.

All dancers participate at their own risk. Injuries are not the responsibility of the venue, Calling U Out organisers or Calling U Out Ltd.

Personal belongings are brought at the owner’s own risk. Loss or damage is not the responsibility of the venue, Calling U Out organisers or Calling U Out Ltd.

By purchasing a ticket, you agree to the CUO event conditions and confirm that suitable insurance is in place for participation.
